1. Introduction

This Cookies Policy explains how AdviserAlly Limited ("AdviserAlly Limited", "we", or "us") uses cookies and similar technologies on adviserally.com, adviserally.app, embedded chatbot widgets, hosted landing pages, email tracking pixels, and marketing landing pages. It should be read alongside our Privacy Policy. The structure and terminology align with UK best practice adopted by organisations such as Sage, Xero, and Bupa.

2. What are cookies?

Cookies are small text files placed on your device when you visit a website. They store information such as session identifiers, language preferences, and analytics data. We also use equivalent technologies including local storage, session storage, pixels (used in email open tracking), software development kits (SDKs), and tracking URLs.

3. Categories of cookies we use

AdviserAlly Limited classifies cookies into the categories below so you can understand their purpose and control your preferences:

  • Strictly necessary: Essential for core functionality such as secure login, session management, load balancing, fraud prevention, cookie consent management, and chatbot widget initialisation. These cookies cannot be switched off because services would not function without them.
  • Performance and analytics: Help us understand how visitors use the Website, chatbot widgets, and landing pages so we can measure performance and prioritise improvements. This includes page view counting, form conversion tracking, and anonymised engagement metrics. We aggregate and anonymise usage where possible.
  • Functional: Remember choices such as language, accessibility preferences, chatbot conversation state, and saved forms to provide a tailored experience.
  • Marketing and personalisation: Support email campaigns, measure conversion (including email open and click tracking pixels), and ensure messaging is relevant. We only set these cookies if you grant consent.

4. Chatbot widget cookies and local storage

When you interact with an AdviserAlly chatbot widget embedded on a third-party website, we use the following technologies:

  • Session identifier (local storage): A unique visitor ID stored in your browser's local storage to maintain conversation continuity across page loads. This is strictly necessary for the chatbot to function.
  • Conversation state (session storage): Temporary storage of the current conversation to preserve context as you navigate pages. Cleared when you close the browser tab.
  • Anonymous visitor tracking (server-side): A hashed IP address and page URL are recorded server-side to link the widget interaction to a visitor record. This data is automatically deleted after 30 days if no conversation takes place.

Chatbot cookies and local storage entries are classified as strictly necessary because the widget cannot function without them. They do not track you across unrelated websites.

5. Landing page cookies

Hosted landing pages may use the following cookies and tracking technologies:

  • Page view analytics: Anonymised counters that record page views and unique visitors to help the customer measure landing page performance. No personal data is stored in the cookie.
  • Form pre-fill (functional): If you partially complete a form and return later, entered data may be saved locally to prevent re-entry. Cleared after form submission.
  • Referral source tracking (analytics): Records the URL or campaign source that directed you to the landing page, helping the customer understand which marketing channels are most effective.

6. Email and SMS tracking technologies

Marketing emails sent through AdviserAlly may contain invisible tracking pixels (1×1 transparent images) and tracked links. These technologies allow our customers to measure:

  • Whether an email was opened (pixel load event)
  • Which links were clicked (redirect through a tracking URL)
  • The time and date of engagement

This engagement data is used to calculate ABCRank lead scores and improve future communications. You can prevent pixel tracking by configuring your email client to block remote images. Click tracking can be avoided by not clicking links in the email. To opt out of marketing emails entirely, use the unsubscribe link in any email or contact [email protected].

7. Third-party technologies

We may partner with trusted third-party providers for analytics, email delivery (Mailgun), SMS delivery (Twilio), payment processing (Stripe), and customer engagement. These partners include services headquartered in the UK, EEA, or other jurisdictions that offer appropriate safeguards for international transfers. Each provider is subject to contractual obligations that mirror the standards used by leading UK SaaS companies.

8. Consent and preference management

On your first visit we display a consent banner that categorises cookies and invites you to accept or decline non-essential cookies. Your choices are recorded for 12 months. You can adjust your preferences at any time by selecting the "Cookie settings" link in our site footer or contacting [email protected]. Strictly necessary cookies (including chatbot session identifiers) cannot be disabled as they are essential for the Service to function.

9. Browser and device controls

Most web browsers allow you to control cookies through their settings, including blocking all cookies or being notified before cookies are set. If you disable strictly necessary cookies, parts of the Service — including chatbot widgets and landing page forms — may not work correctly. You can also manage advertising preferences using industry opt-out tools such as the Your Online Choices programme (www.youronlinechoices.com/uk/your-ad-choices).

10. Retention periods

Session cookies expire when you close your browser. Persistent cookies remain on your device for no longer than 13 months unless renewed through active use. Chatbot visitor identifiers in local storage persist until you clear your browser data or the 30-day server-side record expires. We review our cookie inventory quarterly to ensure that expiration periods remain appropriate.

11. Updates to this policy

We may update this Cookies Policy to reflect changes in technology, our vendors, new product features (such as additional widget capabilities or analytics), or legal requirements such as the UK Privacy and Electronic Communications Regulations. The "Last updated" date will indicate the latest version, and material changes will be highlighted within the consent banner or via email where appropriate.

12. Contact

If you have questions about our use of cookies or similar technologies, please email [email protected] or write to AdviserAlly Limited, 20-22 Wenlock Road, London N1 7GU, United Kingdom.
